Library FAQ

Frequently Asked Questions

Two trombone players in yellow shirts play their instruments during a concert.

Below, please find the answers to our most frequently asked questions about our Instrument Lending Library.

Have a question that isn’t on this page? Feel free to read more about us on our Instrument Library page or contact us at library@bandology.ca.

General Information

Do you provide mouthpieces for the instrument?

Yes! Each instrument case holds a mouthpiece for the instrument. Although we clean mouthpieces between borrowers, we encourage you to give it a wash prior to use to be extra safe – water and dish soap work well!

What should I do to take care of my instrument?

Keep your mouthpiece clean; we suggest giving it a wash every week or so. Be careful with your instrument when handling it and give it a quick inspection when you get it out of your case. Click on the relevant instrument below for more information on how to care for your instrument.

Admin Fee

What does the $10 admin fee cover?

What you’re reading now!

Your admin fee helps cover the time it takes to set up your loan and get the instrument into your hands. This includes the emails back and forth, contacting your reference, the pickup or transportation of the instrument as well as time spent on resources such as the one you’re reading.

If you are borrowing a larger percussion instrument, this fee may also cover the time it takes to assemble on location. The fee also contributes to required replacement costs such as mouthpieces and reeds.

There’s a lot there as you can see, which is why we appreciate whatever you are able to contribute on top of the required $10.

When should I pay my admin fee?

The link to pay your admin fee will be sent along with the approval email. We appreciate it if you are able to pay as soon as you receive this link. The more time it takes you to pay means more of our time is spent reminding you than is covered with the standard admin fee.

Instrument Details

What is the condition of the instrument I will receive?

Our Instrument Library is made up of a mixture of purchased and donated instruments. All instruments are serviced and looked over to ensure good condition before being loaned out.

What do I do if the instrument becomes damaged and/or doesn’t sound right?

Get in touch with us right away at library@bandology.ca!

Instruments need servicing in order to be in tip top shape and you as the instrument’s player are an excellent judge of when they need some extra care.

Will I be charged for servicing?

The servicing of instruments is covered by Bandology and generously completed by St. John’s Music. We understand that some of our instruments are older and may show their age and need additional care as they are used.

However, if the instrument or case has been damaged past normal wear and tear or accidental fraying, you may be asked to contribute to cover repair costs.

What do I do if I no longer need the instrument?

Instruments can be returned at any point within the loan period. Get in touch and we’ll arrange return details.

Can I swap the instrument I have for another one?

This is dependent on instrument availability but it never hurts to ask! Reach out and let’s see what we can do.

Renewals

How do renewals work?

A renewal is when you continue to borrow an instrument for an additional period after you’ve first borrowed it. If you are interested in renewing, you will need to fill out the form for that loan period. Approval is based on instrument availability and your care of the instrument.

When should I fill out the form for the next period?

As soon as you’ve decided you would like to renew it! Renewal requests will be logged as soon as they come in.

When do I hear whether my renewal has been approved?

All renewal requests are confirmed in the week before the next loan period starts. We need to ensure we’ve heard from everyone who is interested in borrowing before we can send out confirmations so please be patient.

Additional Questions

What do you mean by loan period?

There are three loan periods every year. Semester 1 spans September to January; Semester 2 from February to June; and Summer is July and August.

This layout is based on the secondary school schedule in Ontario. Specific dates change year over year based on school dates and will be outlined on the main webpage.
